Outlook: Schedule a Meeting

To learn how to schedule a meeting in Outlook, watch this brief video or follow the step-by-step guide below.

Step-by-step Instructions:

  1. Select Calendar from the Navigation Pane at the bottom.
  2. From the Home Tab, select New Meeting.
  3. In the new window that looks like an e-mail, enter the title of the meeting (what the meeting will be discussing).
  4. Enter who is being invited to the meeting.
  5. Select Start and End date and time.
  6. Enter meeting location or if it is a Zoom meeting, the location will already be included.
  7. Review the suggested meeting times. If the invitees are SHSU faculty, staff, or students using Outlook, it will check their calendars for available meeting slots.
  8. Send the meeting invite.

Note: The Suggested Times feature looks to the recipient's calendar for conflicts. If a recipient does not keep an up to date calendar with Outlook, this feature will display inaccurate information.
